Cancellation & Refund Policy

This policy explains the general cancellation and refund approach for Fjord & Baltic private tours. Some private proposals may contain stricter or different terms when guides, vehicles, tickets, ferries, trains, hotels or other suppliers require them. The terms written in the private proposal take priority.
Before booking
You may change or cancel an enquiry before a booking is confirmed without charge, unless we have clearly agreed paid planning work or non-refundable supplier arrangements in advance.
After confirmation
After a booking is confirmed, cancellation terms are calculated from the date, route, supplier commitments, tickets and payment status. Non-refundable tickets, reservations, bank fees, card fees and supplier charges may be deducted from any refund.
Default cancellation guide
Unless the private proposal states different terms, the following guide applies:
- More than 14 days before the tour: refundable minus non-recoverable supplier costs and payment fees.
- 7 to 14 days before the tour: any refund is calculated after committed guide, vehicle, ticket and supplier costs are deducted.
- Less than 7 days before the tour: the booking may be non-refundable if guide, vehicle, ticket or supplier commitments cannot be recovered.
- No-show or same-day cancellation: normally non-refundable.
Cruise schedule changes
If a cruise ship changes arrival time, departure time, pier or port call, contact us as soon as possible. We first try to adjust the route to the new timing. If the service cannot reasonably operate, refund options follow the supplier commitments already made and the terms in your private proposal.
Weather and operational changes
Weather, sea conditions, road closures, strikes, public events or supplier changes may require a different route or timing. When a safe and practical alternative exists, a route adjustment is treated as a change rather than a cancellation.
Tickets, ferries, trains and hotels
Third-party tickets, ferries, trains, hotels, private boats and similar supplier services may be non-refundable or changeable only with fees once booked. Known non-refundable elements are listed in the private proposal when they affect the booking.
Refund processing
Approved refunds are normally returned to the original payment method where possible. Bank, card, currency conversion and intermediary fees may be outside our control and may not be returned in full.
How to cancel or change a booking
Send the request through the contact page or the communication channel used for your proposal. Include the lead traveler name, date, route, pickup point and booking reference if known.
