Terms & Conditions
Last updated: 30 June 2026
These Terms & Conditions apply to private tours, shore excursions, transfer days, fjord routes, city days and multi-day planning arranged under the Fjord & Baltic brand. They are written for proposal-based private travel services, not instant public group bookings.
Requests and private proposals
Submitting a request does not create a confirmed booking. We review your date, route, pickup point, number of guests, cruise or hotel timing, mobility notes, guide supplier options, transport supplier options, ticket options and supplier conditions before sending a private proposal.
Booking confirmation
A booking is confirmed only when we confirm supplier options in writing and the required deposit or payment has been received. Until then, supplier options, pricing, guide assignment, vehicle options, tickets and route details may change.
What must be confirmed in writing
The final proposal or confirmation states the service date, route choice, pickup point, approximate timing, number of guests, language, price, payment terms, inclusions, exclusions and any supplier-specific conditions. If something is not written into the private proposal, it is not included.
Prices and payment
The price is calculated from date, number of guests, pickup point, route length, guide language, vehicle class, tickets, ferries, trains, local supplier costs, taxes and payment method. The applicable contracting party, currency, payment method and invoice details are stated in the private proposal or invoice before payment.
Tickets, transport and third-party services
Museum tickets, ferries, trains, canal boats, private vehicles, hotels, meals and other third-party services are included only when the private proposal says so. Some elements are controlled by opening hours, supplier options, weather, sea conditions, traffic, road restrictions or ticket release schedules.
Cruise passengers and timing
For cruise passengers, we build the route around the ship schedule and a sensible return buffer. You must provide accurate ship name, pier if known, arrival time, all-aboard time and any tender or shuttle details. If the ship changes schedule, arrives late, skips a port or changes pier, the route may need to be adjusted, shortened or cancelled under the cancellation terms that apply to your proposal.
Traveler responsibilities
You are responsible for giving accurate information, arriving at the agreed pickup point on time, carrying required travel documents, checking visa or entry requirements, following local safety instructions, and telling us in advance about mobility limits, wheelchair needs, child seats, luggage, medical constraints or other practical details that affect the service.
Changes to routes
Private tours are planned carefully, but routes may be adjusted for weather, traffic, strikes, public events, road closures, pier changes, ticket supplier options, supplier changes or safety reasons. We aim to keep the day coherent and workable rather than forcing an impractical route.
Limits of responsibility
We are responsible for arranging the service described in the private proposal with reasonable care. We are not responsible for losses caused by inaccurate traveler information, late arrival, missed ships or flights, force majeure, decisions of public authorities, actions of third-party suppliers outside our reasonable control, or personal expenses not included in the proposal. Nothing in these terms limits rights that cannot legally be limited.
Website information
Website pages describe possible private tour formats and planning logic. They are not a live supplier options system. Durations, routes and inclusions become binding only when confirmed in writing for your date and group.
